Terms & Conditions
1) Introduction
1.1 These Terms and Conditions govern your booking and participation in classes with Cygnets Art School (“we”, “our”, “us”). By booking a class or participating in our services, you agree to be bound by these terms.
1.2 We may amend these Terms and Conditions from time to time. Any material changes will be published on our website and, where appropriate, communicated to customers in advance.
2) Booking and Enrolment
2.1 All bookings for classes must be made through our online booking system or directly with your local Cygnets Art School.
2.2 When booking, you must provide accurate and complete information, including your name, contact details and payment information.
2.3 By completing a booking, you confirm that you have read, understood and agree to these Terms and Conditions.
2.4 A student’s place is confirmed once the online booking has been completed and the required payment at checkout has been successfully processed. Until this has occurred, the place is not secured and may be offered to another customer.
2.5 Responsibility for the details of bookings and payment rests with the person making the booking. Places are allocated on a strictly first-come, first-served basis. Where a class is full, customers will be placed on a waiting list and contacted should a place become available.
2.6 If a participant withdraws before attending their first class, any refund will be dealt with in accordance with these Terms and Conditions, the payment option selected at booking and applicable consumer legislation. Once classes have commenced, refunds will only be made where required under these Terms and Conditions or applicable consumer law.
3) Bookings, Subscriptions & Cancellation
3.1 Payment options vary depending on the type of class, course or activity being booked. The payment options available will be clearly displayed during the booking process.
Weekly Term-Time Classes
3.2 Weekly term-time classes are normally paid for by monthly subscription.
3.3 When a new subscription begins, the first monthly subscription payment is collected during the booking process to secure the student’s place.
3.4 The next monthly subscription payment will be collected on the student’s first lesson date, or one calendar month after the initial subscription payment (whichever is later). Monthly subscription payments will then continue automatically each month.
3.5 Monthly subscription payments spread the annual cost of tuition evenly across the year, including periods when weekly classes are not running because of school holidays.
3.6 A monthly subscription continues until cancelled in accordance with these Terms and Conditions. Customers are not entering into a fixed-term subscription agreement and may cancel by providing the required notice below.
3.7 Existing students remain enrolled from term to term unless Cygnets Art School receives at least 30 days’ written notice before the start of the next term.
3.8 Upon cancellation, accounts will be reconciled based on:
- lessons attended;
- subscription payments received; and
- the applicable notice period.
Where appropriate, any outstanding balance will be collected or any overpayment refunded.
3.9 Customers joining part-way through a term will only be charged for the remaining lessons within that term, as calculated by the booking system.
After-School Clubs & Holiday Workshops
3.10 After-school clubs, holiday workshops, camps and certain other programmes are normally payable in full at the time of booking, unless an alternative payment option is specifically offered during checkout.
3.11 Places on these programmes are confirmed once payment has been successfully processed.
3.12 Fees paid for after-school clubs, holiday workshops, camps and other non-subscription programmes are generally non-refundable once a booking has been confirmed, including where a participant is unable to attend due to illness. However, your local Cygnets Art School may, at its absolute discretion, offer a refund, credit or transfer where circumstances reasonably justify doing so.
4) Payment
4.1 Payment options available for each class will be displayed during the booking process.
4.2 Where a monthly subscription is selected, the first monthly subscription payment is payable when the booking is completed.
4.3 Subsequent monthly subscription payments will be collected automatically using the payment method authorised during booking.
4.4 Customers are responsible for ensuring that valid payment details remain on their account throughout the duration of their subscription.
4.5 If a scheduled payment cannot be successfully collected, Cygnets Art School reserves the right to suspend attendance until the account has been brought up to date.
4.6 Cygnets Art School reserves the right to amend fees from time to time. Any fee changes will be communicated in advance and will apply in accordance with applicable consumer legislation.
5) Arrival and Departure
5.1 Each participant will be signed in and out at the start and end of each class using the register provided by the teacher. Parents or carers are responsible for ensuring these procedures are followed and must inform the teacher if anyone else will be collecting their child.
5.2 Parents may only leave once the register has been completed.
5.3 For safeguarding reasons, parents are not permitted to remain in the classroom during sessions unless specifically invited by the teacher (for example, during a trial session or open class). This policy ensures a safe, consistent, and focused learning environment for all students.
5.4 If a student is to arrive at or leave classes independently, written permission must be provided in advance.
5.5 Students should arrive no more than five minutes before the start of class and be collected no later than five minutes after the session finishes.
6) Programme Changes
6.1 Cygnets Art School reserves the right to amend course content, venues, teachers or timetables where reasonably necessary.
6.2 In the unlikely event that a class is cancelled by Cygnets Art School, we will notify customers as soon as reasonably practicable and provide an appropriate alternative, which may include a replacement class, online resource or refund, at our discretion.
7) Personal Property
7.1 Personal belongings remain the responsibility of the participant.
7.2 Participants should wear suitable clothing for art activities.
8) Meals and Snacks
8.1 Participants should bring clearly labelled drinks and snacks where appropriate. Participants must not bring food containing nuts to Cygnets sessions.
9) Health and Injuries
9.1 Students participate at their own risk, and parents must inform Cygnets Art School and its staff of any existing injuries or medical conditions upon booking. Any medical conditions must be stated on the application form, and any changes must be notified to Cygnets Art School immediately in writing.
9.2 Parents/carers must ensure that any medication required during a Cygnets session is provided in accordance with Cygnets’ procedures, clearly labelled and accompanied by any relevant instructions or healthcare/action plan. Where a child is at risk of anaphylaxis, their prescribed adrenaline auto-injector(s) must be readily available during the session. Parents/carers must ensure Cygnets is informed of the child’s allergy and any emergency arrangements before participation.
9.3 If a student becomes unwell or requires emergency medical treatment during a class, Cygnets Art School will make reasonable efforts to contact the parent or emergency contact using the details provided at the time of booking. It is the parent’s responsibility to ensure these details remain accurate and up to date. Emergency contact details can be updated through your online customer account.
10) Photography
10.1 During Cygnets Art School classes, photographs and videos may be taken of participants during activities. These images may be used for publicity purposes in images, videos, on our website, or in printed publications. Parents may update their photography preferences at any time by contacting their local Cygnets Art School.
11) Equal Opportunities
11.1 Cygnets Art School is committed to providing an inclusive, respectful and welcoming environment. Behaviour that is discriminatory, abusive, disruptive or inappropriate will not be tolerated and may result in the participant being asked to leave.
12) Liability and Insurance
12.1 Cygnets Art School maintains appropriate public liability insurance. Nothing in these Terms excludes or limits liability where this would be unlawful.
12.2 Parents remain responsible for ensuring appropriate medical information has been disclosed.
13) Data Protection
13.1 Personal information is collected and processed for the administration of bookings, payments and customer communications in accordance with applicable data protection legislation and our Privacy Policy.
14) Intellectual Property
14.1 All teaching materials, artwork, branding and content remain the intellectual property of Cygnets Art School Ltd unless otherwise stated.
14.2 No material may be copied, reproduced or distributed without prior written permission.
15) Feedback
15.1 We welcome feedback and will always endeavour to resolve any concerns promptly and fairly. Please contact your local Cygnets Art School in the first instance.
16) Governing Law
16.1 These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
